For a business, the repair bill is only part of the cost. The bigger problem is usually the vehicle sitting idle when it should be carrying staff, tools or equipment to a job.

Many are also fitted with service bodies, canopies, toolboxes, auxiliary batteries, work lights, radios, inverters and other equipment. Every addition places some extra demand on the vehicle.

Two utes can show the same kilometres and have experienced very different working lives. A lightly loaded vehicle travelling between offices is not doing the same job as one carrying tools through construction sites or regional areas.

That is why maintenance should be based on more than the odometer. Load, road conditions, towing, idle time and daily operating environment all matter.

What are the early warning signs?

Major problems rarely appear without any warning. More often, a vehicle gives small clues that something is beginning to wear or fail.

The driver is usually the first person to notice. They know when the brakes feel different, the steering has begun pulling to one side or the engine does not respond the same way under load.

These observations should be taken seriously, even when the vehicle still seems usable. A simple inspection is usually far cheaper and easier to plan than a breakdown away from the workshop.

Filters, brakes, tyres, suspension, steering and cooling systems can all require closer attention under severe operating conditions.

Brakes, tyres and suspension deserve particular attention. A vehicle carrying tools or towing regularly may wear these components faster, and any loss of performance becomes more important when extra weight is involved.

Uneven tyre wear can point to alignment, suspension or load distribution problems. A change in ride height, handling or braking can also indicate that a vehicle is working close to its limits.

Cooling systems are another area that should not be overlooked. A small leak, ageing hose or partially blocked radiator can become a major problem when the vehicle is heavily loaded on a hot day.

The electrical system now matters just as much. Modern work utes can carry auxiliary batteries, beacons, UHF radios, work lights, inverters, fridges, trailer brake controllers and tracking equipment. Wiring, connections and battery condition should be checked as part of regular maintenance, especially when the vehicle spends time on rough roads.

How much weight is the vehicle carrying every day?

Permanent equipment can use a surprising amount of a ute’s available payload before the driver, passengers and daily tools are added.

Steel trays, service bodies, canopies, drawers, spare parts, recovery gear, fuel and water all count towards the vehicle’s total operating weight. The vehicle may not look overloaded, but that does not mean it is comfortably within its limits.

Extra weight places more demand on tyres, brakes, suspension and driveline components. It can also affect steering response and stopping distance.

A vehicle should be weighed in its normal working condition, with the equipment it carries on an ordinary day. That provides a far more useful picture than relying on estimates or the advertised weight of individual accessories.

Why driver reporting matters

A maintenance plan only works when information reaches the person responsible for the fleet.

Drivers should have a simple way to report noises, warning lights, tyre damage, leaks or changes in performance. This does not need to be complicated. A short paper checklist, shared form or fleet app can be enough.

The important part is creating a habit of reporting faults early and making sure someone follows them up. Drivers should not feel like they are causing an inconvenience by mentioning a problem. They may be preventing a much larger one.

Good records make fleet maintenance much easier. Each vehicle should have a clear history of services, repairs, tyre replacements, reported faults and major accessories or modifications.

Maintenance should be staggered where possible. Having several vehicles due at the same time can create an avoidable operational headache, while a planned rotation lets the business keep enough vehicles available for normal work.

It is also worth reviewing the schedule whenever a vehicle’s role changes. A ute that begins towing more often, carrying a heavier service body or operating on a new site may need a different level of attention than it did previously.
